FAQ
As a doctoral student, you are entitled to a standard Mecenat Card. Because doctoral students are not registered as full-time students, the student union must register them manually. Since you are registered in Ladok and Mecenat on a per-semester basis, you must resubmit a certificate at the start of each new semester if you wish to continue holding a Mecenat card. There are two ways of renewing your student card:
- Through SöderS: At the bottom of the doctoral support page, you can now fill out a form and upload your employment certificate or other document that validates your study activity. SöderS will then register your study activity so you get the Mecenat card. The processing time is 1–3 business days.
- Through Mecenat: You need to download a certificate of registration through your Ladok and submit it through the Mecenat customer service. Application and instructions can be found through this site. Make sure you select the “show activity” button when generating the
certificate!
The main purpose of the General Assembly (henceforth GA) is to allow members of an association to discuss and vote on the future direction of the organization.
During this occasion, the members of the Doctoral Council (DC) vote for specific members to represent them in the board of the DC, who also act as doctoral student representatives in central bodies and manage routine activities regarding doctoral student influence across all university levels. Participating in the GA implies being part of the democratic process to decide who represents you.
You do not need to know how an annual meeting works to attend. There will be people on site to make sure that all the formalities are done correctly. The chairperson of the meeting will also explain the different items so that everyone knows what is going on. You don’t need to prepare in advance nor have previous experience with general assemblies. Simply sit in and listen to what has been done, the suggestions for what can be done, and vote on the student representatives you are interested in.
All members of the association can attend. Members are all the doctoral students admitted to third cycle studies at Södertörn University, including those in exchange programs organized by the university, with employment at Södertörn University, or those operative at Södertörn University with an employment at a different university.
Non-members may still attend the meeting but will not have the right to vote.
Extensions due to positions of trust are only given to representatives appointed by SöderS (or through the DC).
You are entitled to a certain number of hours for you participation and preparation for meetings you attend. The amount should be discussed prior to starting the assignment. You can find a detailed list of bodies with doctoral representation, the formula for calculating extension-based hours, and more information in the Guidelines for extensions to doctoral studentships due to position of trust.
As a substitute representative (sv: suppleant) you are entitled to extension for the meetings you attend instead of the ordinary representative.
In addition, the Doctoral Council has extension-based hours to distribute within the council’s activities. Thus, board members are given additional hours for participation in DC board meetings, and other doctoral candidates performing assignments for the DC are entitled to hours from the DC budget.

Doctoral students themselves have the responsibility to notify their boss about planned assignments (departmental duties and positions of trust).
If you no longer want to continue as a doctoral representative, contact SöderS to be relieved of your duties.
Make sure you notify your boss and supervisor of any changes to your extension-based activities.

Doctoral Council
About the Doctoral Council
The Doctoral Council (DC) is an association under Södertörn University’s student union (SöderS), whose role is to organize doctoral students and interests concerning their employment and education at Södertörn University.
Swedish law states that students have the right to participate in decision-making processes that affect their education. The local student union, SöderS, ensures that student influence, study conditions and student rights are met by the university’s
management.
The aim of the Doctoral Council is to:
- be a joint space for doctoral students at the university to meet and connect
- constitute a forum to discuss common concerns
- promote a good atmosphere amongst the doctoral students at Södertörn University
Members are all the doctoral students admitted to third cycle studies at Södertörn University, including those in exchange programs organized by the university, with employment at Södertörn University, or those operative at Södertörn University with an employment at a different university. As an active doctoral student, you are automatically represented by the DC in decision-making processes.
The General Assembly is the highest deciding body in the association and occur once a year. The main purpose of the General Assembly (sometimes called Annual or General Meeting) is to allow members to discuss and vote on the future direction of the association. Here, the board of the DC are elected by the members of the association. Between each General Assembly, the board members work to ensure that the decisions made during the general assembly are implemented, that doctoral student influence and representation is maintained, and that doctoral student interests are met at all levels in the university.
Become a doctoral student representative
We are always looking for new doctoral representatives. It’s a rewarding role where you can help shape the opportunities and conditions for doctoral students at the university.
There are many vacant positions across the collegial level of management, and you do not need any prior experience to assume the role of student representative. However, for most governing bodies you are required to speak and read Swedish (as the role requires to discuss policy documents in Swedish).

applicants have previous experience.
All doctoral student representatives must be formally appointed by SöderS, which in turn gives them benefits of the position of trust (such as extension to employment).

Who represents you?
PhD students’ opinions, interests, and perspectives are represented by doctoral student representatives in several different bodies at the university. Information for appointed doctoral representatives
New doctoral representatives are required to attend an introduction seminar with SöderS. There are two occasions per semester, for upcoming dates and registration, see more here.
For doctoral representatives looking for ways to become more involved, developing one’s union-related skills, and discussing PhD issues more rigorously, join the Impact Forum for PhDs! This event is directed at appointed representatives who what to meet and discuss the university’s management, current issues affecting PhDs on central levels, career opportunities for people in positions of trust, and more. Upcoming Impact Forums are always announced in SöderS’ calendar and in SöderS NewS.

Update your Mecenat card
Since PhD students most often aren’t registered automatically or correctly in Ladok’s system, we (the student union) have to manually register you for you to get access to your Mecenat card.
Every new term, you have to contact us to get your card renewed. The easiest way is to do this via this form down below.
